Terms of Service

These terms govern your use of MyFieldOffice, operated by Extreme Heat Pump Solutions LLC ("we", "us"). By creating an account you agree to them.

1. The service

MyFieldOffice is field service management software for scheduling, quoting, invoicing, and record keeping. We provide it on a subscription basis and may add, change, or remove features over time.

2. Your account

• You must be 18 or older and able to enter a contract.
• You are responsible for keeping your login credentials secure and for everything done under your account.
• Tell us promptly at support@myfieldoffice.app if you believe your account has been accessed without your permission.

3. Subscription and billing

• Subscriptions are billed in advance through Stripe on a recurring basis.
• Your subscription renews automatically until you cancel.
• You can cancel at any time; access continues to the end of the paid period.
• Fees already paid are non-refundable except where required by law.
• We will give at least 30 days' notice by email before changing the price.

4. Your data

The records you enter — customers, jobs, invoices, photos — remain yours. We claim no ownership of them. We store and process them to provide the service, as described in our Privacy Policy.

You are responsible for the accuracy of what you enter and for having the right to store information about your customers. You can export or delete your data at any time.

5. Acceptable use

You agree not to:

• Use the service for anything unlawful, or to send unsolicited bulk email
• Attempt to access another company's data
• Reverse engineer, resell, or redistribute the software without permission
• Interfere with or overload the service, or bypass usage limits
• Upload malware or content you have no right to upload

We may suspend or terminate accounts that breach these terms.

6. Email sending

The service can send email on your behalf, including from your own connected Gmail account. You are responsible for the content of those messages and for complying with anti-spam laws, including CAN-SPAM. Do not use the lead finder or outreach features to send unsolicited commercial email where prohibited.

7. AI features

Some features use AI to read photos, draft text, or make suggestions. Output may be inaccurate or incomplete. Review anything AI produces before relying on it, sending it to a customer, or making a business decision from it. AI output is not professional, legal, financial, or technical advice.

8. Availability

We aim to keep the service running but do not guarantee uninterrupted availability. We may perform maintenance, and outages at our hosting or third-party providers can affect the service. Keep your own copies of records that are critical to your business.

9. Disclaimer and liability

The service is provided "as is" without warranties of any kind, express or implied, to the fullest extent permitted by law. To the extent permitted by law, our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim. We are not liable for lost profits, lost data, or indirect or consequential damages.

Nothing here limits liability that cannot be limited under applicable law.

10. Termination

You may cancel or delete your account at any time — see Delete your account. We may suspend or terminate your account for breach of these terms or non-payment. On deletion, your data is removed as described in the Privacy Policy.

11. Changes to these terms

We may update these terms. If a change is material we will notify account holders by email. Continuing to use the service after a change means you accept the updated terms.

12. Governing law

These terms are governed by the laws of the Commonwealth of Massachusetts, United States, without regard to conflict of law rules.
